Home › What to prepare › Spreadsheets and carrier statements (no AMS)
Seller data guideShort answer: You need a policy history that includes cancellations, and premium and commission by carrier by month. Rebuild them from carrier portals, commission statements and your bank records. Customer names aren't needed.
Plenty of good agencies run on carrier statements, a spreadsheet and the bank account. That's fine — everything a buyer needs can be rebuilt from those, it just comes from different places.
| What we need | Where to get it without an AMS |
|---|---|
| Policy list with cancellations (item 6) | Each carrier's agent portal or your carrier rep: ask for a book-of-business or policy listing for your agency code, including cancelled and non-renewed policies, for the period below. Combine them in one spreadsheet — use our template. |
| Commission by carrier by month (item 2) | The commission statements each carrier sends (portal downloads or email/PDF), and your bank deposits to check them against. |
| Income statements (item 3) | Your bookkeeper or CPA. If you don't have P&Ls, your bank statements and tax returns are the starting point. |
| Loss runs (item 4) | Carrier portals or your carrier rep — see carrier portals. |
Period: From January 1 three years ago to the most recent date available.

Send this to each carrier rep as-is. It asks for the output, not a particular screen, so it works whatever version you run.
Hi each carrier rep, I need two exports from our agency's data and want to make sure I get the right reports: 1) A policy / transaction history covering January 1 three years ago through the most recent date available. It must include: - A unique policy or customer ID (names are not needed — de-identified is fine) - Carrier and product / line of business - Written premium and agency commission - Effective date and expiration date - Transaction type: new business, renewal, rewrite, endorsement, cancellation - Status - Cancellations and non-renewals — not just the policies in force today If the system can only export active policies, please also run the same report as of 12 months ago. 2) Premium and commission by carrier, by month, for the last two complete years and year to date, with commission income and agency fee income shown separately. Customer names are not needed; IDs are fine. Excel or CSV works best. Can you tell me which report(s) produce this, or run it for us? We'd also like written confirmation that our full book and its history can be exported. Thank you.
Send what you have. Partial data is better than none — we'll tell you exactly what's still missing. See the full checklist or start a confidential conversation.
